Academic Policies and Standards

Students are encouraged to participate in decisions regarding academic policies and curricular matters. Participation in department meetings and activities, course evaluations, Student Senate and special task force meetings are vehicles for student/academic affairs dialogue.

Academic Advising

Quality academic advising and strong faculty support are hallmarks of the undergraduate experience at SMWC. Students and faculty advisors share responsibility for effective communication in the advising process. The academic advising program at Saint Mary-of-the-Woods College is designed to individually assist each student to achieve their academic, professional, and personal goals, and make good use of the resources available.

Academic Awards

Academic honors are published twice a year (in July and January for distance education students; in May and January for campus students). Honors are based on the cumulative grade point average earned in graded coursework taken at Saint Mary-of-the-Woods College. Bachelor’s degrees are conferred with honors upon those students who attain academic distinction. To be eligible for graduation honors, a student must have completed 60 credit hours of graded work at Saint Mary-of-the-Woods College.

Academic Records

Saint Mary-of-the-Woods College insures that all practices regarding the security of student academic records comply with the requirements of the Family Educational Rights and Privacy Act of 1974 (FERPA). Students are entitled to review their own academic records upon written request. Students may view their own transcripts at any time at the Office of the Registrar or online at Transcripts should be requested well in advance of the date needed. Requests are usually filled within two business days. Student financial accounts must be in good standing before transcripts will be released.

Academic Standards

Content includes description of the academic year as determined by the specific program, student's academic classification based on total credits earned toward a degree at the college, enrollment status, and grading system.

College-sponsored Events

Saint Mary-of-the-Woods College (SMWC) acknowledges and embraces the fact that students have diverse lives, opinions, and activities that extend beyond College activities. Likewise, an important risk management tool for any college is to address risk and liability. To this end, students must understand that SMWC has no liability when students attend and engage in events not expressly sponsored by SMWC. Sponsorship is defined by an activity that is led by an SMWC faculty, staff or administrative official in her or his official SMWC capacity and is approved by the SMWC President and Cabinet. Students may be excused from class, not from class work, in order to participate in college-sponsored events. Students are required to contact faculty before the absence to determine the class assignments. Notification requirements are the responsibility of both the coordinating faculty/staff and the student and should be received at least one week in advance of the event. Written notification shall include date, time, names of students involved and function to be attended. Faculty should indicate knowledge of the event by a signature. Note that students are not automatically excused from classes for practices and rehearsals, but only for events, games, dress rehearsals, and performances.

Grade Appeal Policy

A student who believes that a grade awarded is in error may appeal that grade following the process outlined in this policy.

Incomplete Course

A student with a valid reason for not finishing course requirements on schedule may be granted additional time by the instructor to complete the course. The student must have completed at least 50% of the course work and no more than 50% of a student’s courses may be extended at one time.

Plagiarism and Cheating

College work requires students to study and build upon the ideas of others. Students may derive information from such sources as books, periodicals, lectures, electronic media, artistic performances, or even informal conversation. Submitting someone else’s work as your own, using the language or ideas found in a source without proper documentation, or the improper use of another’s artistic, musical, or other creative work constitutes plagiarism.

Registration covers late entrances into a campus course, repeating courses, and Intra-program transfers.


Students will be placed on academic probation when their semester GPA or cumulative GPA is less than 2.0. The student will be notified in writing of the probationary status and of the conditions of the probation, before the start of the next term. Occasionally the resolution of an incomplete grade may change a student’s academic status. A student may remain on academic probation for no more than two consecutive terms. Extra-curricular activities may be restricted for students who are on probation. A student also may be dismissed for social cause. Unsatisfactory conduct or influence will result in dismissal from the College. If, in the judgment of the administration, a student is exerting a harmful influence, the student may be dismissed without any special act of insubordination. It is understood that students, parents and sponsors of all students accept these conditions.

Saint Mary-of-the-Woods College supports its students' right to free speech to encourage personal growth and self-expression. The College upholds this right even when the student's opinion conflicts with local, national, or Catholic opinion and/or doctrine.

SMWC is committed to providing reasonable and appropriate accommodation to students with known disabilities in order to afford them an equal opportunity to participate in the College’s programs, courses and activities.

Transfer Policies

Policies regarding transferring credit from other institutions, advanced placement credit, CLEP credit, DSST/Dantes credit, international baccalaureate credit and prior learning credit.
